How do I register for i.c.e.works 19?

The i.c.e.works 19 website will contain a link that will take you directly to the registration website for you to register yourself and, if applicable, register accompanying guests and family members.

The i.c.e.works 19 staff members are always on hand should you require assistance and can input your registration for you if required.

How long do I have to register for the conference?

Registration strictly closes on 30 June 2019.

How do I know how many smiles I have?

Click HERE to visit the New Sunrise website and login in using your username and password to track your SMILES.

The final Smiles results will also be communicated by New Sunrise via email.

I am a multi-site operator, can I add the smiles from all my locations together to increase my eligibility to a fully funded or partially funded registration?

No, unfortunately SMILES may only be used from the one location for each registration.

What happens if I want to bring my spouse who is a non-member?

A Partner Package is available for all non-members, including spouses or accompanying guests.This package includes flights, accommodation, breakfast, all New Sunrise functions & group activities.

What does the partner package include?

What happens if I don't want to buy a partner package but want to make my own arrangements for my spouse or accompanying guest?

You can choose to book flights and transfers independently for your guest. If you would like them to share your accommodation, please let the i.c.e.works 19 team at Events Beyond know when registering as all guests of the hotel must be advised prior to arrival.

If you would like Events Beyond to assist with booking flights separately, please send a request via email and the i.c.e.works 19 team will provide you with a quotation.

Can my spouse or accompanying guests attend New Sunrise functions or group activities if I don't purchase the partner package?

Unfortunately your spouse or accompany guest will not be able to attend any New Sunrise functions or group activities if you do not purchase the partner package.

Why can't I choose which airline I travel on?

To ensure we are holding sufficient seats for all delegates travel to and from San Francisco on the group flight dates, we must pre-purchase these seats. Therefore, all subsidised and partially subsidised tickets include group seats held by Events Beyond.

Can I bring my children?

Child registration fees are available and children will be welcome to attend all events including our very exciting Snowball Awards Dinner. Child-minding options will also be made available closer to the event (payable at your own expense).

Can I extend my travel pre or post event?

Yes, the i.c.e.works 19 team at Events Beyond will be able to assist with your extension travel options upon request.

Please advise your requirements when registering and the i.c.e.works 19 team at Events Beyond will contact you to discuss your options with you, provide a quotation and proceed with bookings once confirmed by you.

Are there any extension travel options available?

Yes, Events Beyond has four fabulous mini-stay extension travel options available travelling to:

  • Orlando
  • Yosemite & Tahoe Sierras

How do I book my extension package?

If you wish to proceed with one of the three extension packages, please make your selection when registering by selecting the package you want on the Travel page.

Events Beyond will then be in contact with you to finalise arrangements.

When will I have to pay for my extension package?

All extension travel must be paid directly to the i.c.e.works 19 team at Events Beyond prior to proceeding with the booking. Once payment is received, Events Beyond will finalise the booking and send you all travel confirmations.

Will I be able to collect Qantas frequent flyer points?

Qantas frequent flyer points are earned on all group flights for i.c.e.works 18. You must be a member of the Qantas Frequent Flyer program to earn points. Membership and points are subject to the terms and conditions of the Qantas Frequent Flyer Service program.

It is your responsibility to ensure you accurately advise of your Frequent Flyer Membership number when you register.

Am I able to upgrade my flight using my Qantas frequent flyer points?

Should you wish to upgrade your travel using points, you must first speak with Events Beyond and finalise your flight booking and have your Qantas ticket issued. Only once your airline ticket is issued can you then speak to Qantas directly to register for an upgrade using points.

Please note: upgrades will only be confirmed to you inside 24 hours from travel. The only way to guarantee travel in Premium Economy, Business or First class is to pay the upgrade cost when your booking is made. To do this you will need to speak with Events Beyond who will provide you the best available airfare supplement at time of booking.

What happens if I need to cancel my registration?

New Sunrise contracts various suppliers, such as hotels, airlines & restaurants, to secure availability for our guests taking part in the i.c.e works 19 each year.  Suppliers impose strict terms & conditions within these contracts that will only allow for a reduction or cancellation of our contract up to a certain period prior to the event date.  

Therefore, cancellations fees will now be applicable to any registration cancellations as follows:

  • Cancellation prior to 24 May $375.00 per person being for deposits to our various suppliers.
  • Cancellation between 25 May – 23 June 50% of your registration fee will apply  - $ 2750.00.
  • Cancellation after the 24 June will incur 100% of registration fee.   

Cancellations cannot be offset with conference credits and any applicable charges will be debited from your trading account.
